Your Opportunity

Stantec is seeking a Senior Submittals Coordinator to join our Program Management team with a background in scheduling of large infrastructure programs, preferably in mass transit systems.

The successful candidate will possess three to five years’ experience in a submittals support capacity.

This is a key position requiring excellent communication skills and a willingness to work as part of a team to successfully deliver major capital projects.

Your Key Responsibilities

  • To support compliance of the submittal process as set out in the Project Agreement and with other contracts as applicable.

  • Participate as member of a project team and communicate issues and opportunities but also be able to work independently and with minimal direction.

  • Supports Technical Director and the project team as required.

  • Review and respond to project correspondence.

  • Process and efficiently manage numerous submittals effectively and positively influence client and Stakeholder team members.

  • Interact with senior clients and articulate complex concepts in a clear and concise manner.

  • Attendance at multiple, different, technical and commercial project working groups.

  • Ensure information received from various sources in support of stakeholder requirements, design submissions, studies, meeting minutes, action logs, dashboards, registers are:

    • Collated;
    • Track submittals to completion in accordance with the timescale requirements;
    • Maintain documentation of activities;
    • Reviewed for technical soundness/compliance with requirement, conflicting requirements and or comments;
    • Organized and kept up to date; and,
    • Coordinated between all stakeholder and project team.
  • Receive submittals from Client and Stakeholder teams including but not limited to the Technical Authority (TA) and Project Co.

  • Analyze and mitigate risk of delayed submittals and the impact on the project schedule.

  • Prepare summary reports for Executive Management, and other reports and updates as required.


Your Capabilities and Credentials

  • Solid level of proficiency and knowledge of submittals related processes.

  • Experience with large capital infrastructure projects, preferably in mass transit systems.

  • Technical knowledge of submittals practices.

  • Familiarity with engineering design, and construction practice.

  • Ability to review and validate submittals with project team members and related stakeholders.

  • Demonstrated ability to plan, organize, direct, perform, review, and present status updates of submittals requirements.

  • Ability to solve problems using sound professional judgment, creativity and innovation.

  • Strong written and verbal communication skills.

  • Knowledge of applicable standards and procedures.

  • Ability to perform quality assurance.

  • Ability to make timely decisions.

  • Positive attitude with strong relationship building skills.

Education and Experience

  • Technical degree/diploma/certificate or equivalent in related field; or equivalent combination of education and experience.

  • Three to five years of experience in a submittals or related role. Construction experience is an asset.
