Stantec is seeking a Senior Submittals Coordinator to join our Program Management team with a background in scheduling of large infrastructure programs, preferably in mass transit systems.
The successful candidate will possess three to five years’ experience in a submittals support capacity.
This is a key position requiring excellent communication skills and a willingness to work as part of a team to successfully deliver major capital projects.
Your Key Responsibilities
To support compliance of the submittal process as set out in the Project Agreement and with other contracts as applicable.
Participate as member of a project team and communicate issues and opportunities but also be able to work independently and with minimal direction.
Supports Technical Director and the project team as required.
Review and respond to project correspondence.
Process and efficiently manage numerous submittals effectively and positively influence client and Stakeholder team members.
Interact with senior clients and articulate complex concepts in a clear and concise manner.
Attendance at multiple, different, technical and commercial project working groups.
Ensure information received from various sources in support of stakeholder requirements, design submissions, studies, meeting minutes, action logs, dashboards, registers are:
- Track submittals to completion in accordance with the timescale requirements;
- Maintain documentation of activities;
- Reviewed for technical soundness/compliance with requirement, conflicting requirements and or comments;
- Organized and kept up to date; and,
- Coordinated between all stakeholder and project team.
Receive submittals from Client and Stakeholder teams including but not limited to the Technical Authority (TA) and Project Co.
Analyze and mitigate risk of delayed submittals and the impact on the project schedule.
Prepare summary reports for Executive Management, and other reports and updates as required.
Your Capabilities and Credentials
Solid level of proficiency and knowledge of submittals related processes.
Experience with large capital infrastructure projects, preferably in mass transit systems.
Technical knowledge of submittals practices.
Familiarity with engineering design, and construction practice.
Ability to review and validate submittals with project team members and related stakeholders.
Demonstrated ability to plan, organize, direct, perform, review, and present status updates of submittals requirements.
Ability to solve problems using sound professional judgment, creativity and innovation.
Strong written and verbal communication skills.
Knowledge of applicable standards and procedures.
Ability to perform quality assurance.
Ability to make timely decisions.
Positive attitude with strong relationship building skills.
Education and Experience
Technical degree/diploma/certificate or equivalent in related field; or equivalent combination of education and experience.
Three to five years of experience in a submittals or related role. Construction experience is an asset.
