Your Opportunity

The Stantec Miami Florida is seeking an experienced, highly motivated individual to provide organizational and administrative support to our team. The position will play a key role by providing support to the local management team, assisting with all office operations.

Your Key Responsibilities

  • General clerical duties including photocopying, fax and mailing, maintain supplies and UPS/FEDEX.

  • Phone system several incoming lines

  • Greeting clients and vendors

  • Supporting conformance with company policies, procedures and ISO-certified Integrated Management System

  • Prepare documents in MS Word, Excel, Powerpoint, OneNote, and other programs

  • Prepare, edit, and format documents including correspondence, reports, proposals, drafts, memos, office address book and emails

  • Processes expense reports, invoices and orders

  • Schedule and coordinate meetings, appointments, internal and external events and travel arrangements.

  • Creating attractive graphics, maps and figures to include proposals, technical reports, meeting notes and presentations

  • Handle administrative requests and queries from leadership, project managers and engineers.

The successful candidate will possess a strong work ethic and excellent organizational skills. The successful candidate will also possess the following qualifications:

  • Strong work ethic and commitment to safety.

  • Detail-focused individual, who can learn and adapt quickly

  • Demonstrate strong time management skills with the ability to prioritize and meet deadlines in a fast pace working environment

  • Ability to work with multiple project managers to assist in meeting deadlines

  • Excellent written and oral communication skills, strong time management skills

  • Flexibility and ability to work extended hours as required.

  • Enjoys working independently and within a team environment

  • Advanced proficiency in office systems, and general office maintenance

  • Advanced expertise in the Windows environment, including the full suite of Microsoft office programs, Word, Excel, Outlook, PowerPoint, OneNote and Adobe Reader/Writer.

  • A valid Driver’s License and a dependable personal means of transportation are required

Education and Experience

Minimum of 4-6 years' work experience in required. Experience in A/E (engineering, architectural or construction) consulting firm is preferred.
