We are currently seeking a causal Document Control Specialist to join our Oil & Gas group. This position will work under the direction of the Engineering Manager to modernize our document control processes and procedures, establish a fit for purpose electronic document management system (EDMS), and train users.
Your Key Responsibilities
Develop, set up (in collaboration with our applications and development team), and implement our EDMS as the standard digital document management system with the needed folder structures, attributions, and security protections to efficiently deploy and then manage documents for our engineering services delivery on programs of work.
Review and update our document control management standards, procedures, processes, and workflows in collaboration our Document Control group to reflect an efficient modern approach to document management and the use of the EDMS as our key repository of controlled engineering and project documents.
Train document control staff in the new procedures, processes, controls, and workflows necessary to perform digital document management within the EDMS to ensure that all controlled engineering and project records are maintained, transmitted, retained, and governed reliably and consistently to efficiently support our engineering services delivery.
Train engineering staff in the new procedures, processes, controls, and workflows necessary to align with digital document management within the ProjectWise system and ensure that they can access (read) our controlled engineering (CER) and project records (CPR) and that they understand their role in maintaining, transmitting, retaining, and governing documents reliably and consistently to efficiently support our engineering services delivery.
Your Capabilities and Credentials
Intermediate user of Microsoft office and Adobe Suite of products
Familiarity with the following programs would be an asset: FTP sites, Share Point, a variety of EDMS, and Consigno.
Education and Experience
2-year post-secondary education in an Information and Technology program
Minimum 5 years of experience in a document control role within an Oil and Gas/Energy EPC firm.
Experience setting up the document management side of digital document management systems.
Experience writing document management procedures and processes.
Experience training stakeholders in new EDMS.
Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
