Stantec Project Manager Assistant in Denver, Colorado

Your Opportunity

The Project Manager Assistant role is intended to work closely with numerous Project Managers simultaneously to facilitate project delivery including contracting, monthly invoicing, financial reporting, project tracking, report formatting, quality control, organization, and production of project deliverables. Prior experience with the Colorado Department of Transportation contracting, billing, or B2G requirements is a plus. Other responsibilities may arise depending on the project-specific scope of work and/or changes in work delivery process.

Your Key Responsibilities

  • Work with our financial Project Administers to complete project set ups, monthly billing, and coordination

  • Weekly review of contractor billings and tracking of remaining budgets

  • Prepare financial statements and insurance document submittals to clients

  • Review accounts receivable status and address with client if needed

  • Facilitate invoicing process by reviewing billing reports and coordinating with the PM to finalize invoices

  • Coordinate with subcontractors by executing agreements, change orders, managing budgets, invoicing, and payment

  • Compile and maintain project task list and communicate to project team when changes occur

  • Prepare and maintain project team contact list, which includes client team members, Stantec team members, and project subcontractors

  • Assist with preparing and formatting formal engineering reports, documents, letters, and appendices

  • Manage the online submittals for the CDOT B2G tracking system

  • Your Administrative Duties

  • Onboard new employees and familiarize them with our organizations billing and expense requirements for projects

  • Assist with travel arrangements and expense report generation for staff

  • Working in Microsoft Word to set up formal engineering report templates

  • Preparing billing back-up documents in Excel

  • Gathering and organization of receipts and subcontractor invoices for billing purposes

  • Take, prepare, and distribute meeting notes and agendas

  • Other administrative duties as needed

Your Capabilities and Credentials

  • Excellent skills and prior experience with MS Office Suites such as Word and Excel as well as Adobe

  • Strong written, verbal, communication, and organizational skills

  • Understanding of invoicing processes

  • Ability to multi-task and take initiative when needed with solid problem-solving skills

  • Good math background with high attention to detail and accuracy

  • Ability to make appropriate decisions and knowing when to ask questions

  • Ability to work effectively with a wide range of personalities and backgrounds

  • Team player with the ability to motivate and promote teamwork in others

  • Willingness and flexibility to learn new skills, as needed

  • Versatility, flexibility, and willingness to work within frequently changing priorities

Education and Experience

Preferred: Post-secondary degree in finance, accounting, project management, mathematics or equivalent combination of education and experience with PMA duties stated above. Minimum: High School Diploma with minimum of 2-3 years’ experience with PMA duties stated above.
